Checklist For Planning a Successful Event

Some days back, I wanted to go see an art exhibition. Having been in Abuja for not so long, I wasn’t aware of so much in terms of art exhibition centres nor if there was an exhibition happening on the day of my choosing. I decided to check out Eventbrite and found an art exhibition. If you are familiar with how Eventbrite works, where the location of the event is written out, there’s a hyperlink that takes you to the map on Google for easy access to the location. I boarded a Uber and was driven to the supposed event place. Upon my arrival, I was told that there was no such event happening at the place. I went back to Eventbrite to know if I missed something and alas, I did. It turns out that the flier for the event on the page had a different address. I boarded another Uber to the stated address. Again, there was no such event happening. Around the axis of the new address, I stumbled on a fashion expose. I went in and hanged my bags because that was my final destination because, also, there were no numbers to call to enable me to find my way.

Preparing and planning an event can be a very strenuous task but the goal is to leave an impression that leaves your attendees RSVPing for other such events. There are a number of things that makes an event successful some of them include;

Choosing an all-round venue

Choosing the right venue is a foundation to organizing a successful event. Asides from ensuring that an event is executed to any specifications, it influences the overall experience of your guests. In selecting a venue, be on the lookout for the optimal conditions in matters of location and access. This results in a favourable view of what an event represents.

 

Taking advantage of event technology

Event technology is any digital tool that helps you manage an event. Some of the advantages of using an event technology include;

  • Communicate with your guest: the use of event technology allows you to communicate with your guest before and after the scheduled time of the event by creating and delivering personalized, relevant, and timely content as it relates to the event. Information like directions to the place of the event or numbers to call in case of emergency should be made available to guests.
  • Data collection: employing event technology enables you to collect relevant data and insight to run analysis that will determine success. It helps with identifying trends and improvements in aspects of event management, real-time or future.

Follow up

This still runs along the same lines as communicating with guests but primarily after the event is over. With data collected from the event technology deployed, you are made aware of those who signed up for an event and showed up and otherwise. Follow-up messages are therefore strategic, appreciating those who attended with room for feedback and inquiring about the reasons behind others not attending and in relation to the event structure.

The success of an event is tied to its guest, events should therefore be structured or managed in a manner that accommodates said, guests.
